Rebate accounting recognises rebates on an accrual basis as the earning condition is met — a liability for the payer, a receivable for the earner — then settles them, usually by credit note, and reconciles the settlement against the accrual. The GST treatment turns on one choice: a tax credit note reverses ITC; a financial credit note does not. The accrual and the pre-launch cost model are the same arithmetic at different times — a scheme already modelled partner-by-partner has most of what it needs to accrue.

Accrual recognition

Rebates are earned over a period, not at a single moment, so they belong in the books on an accrual basis. As the condition is progressively met — volume crossing slabs, a growth target advancing — the payer recognises a growing liability and the earner a growing receivable. Recognising this live, rather than estimating at quarter-end, is the difference between a defensible number and a surprise. Should you accrue for estimated rebates?

Generally yes — under Ind AS 115, expected scheme payouts are variable consideration, estimated and recognised as a reduction of revenue as the qualifying sales occur, not when the claim is settled; comparable logic applies under AS as a matching-based provision. The practical discipline is the estimate's hygiene: accrue scheme-wise from the published slab table and live achievement, true up against actual settlements each period, and investigate persistent over- or under-accrual rather than absorbing it. Positions vary with the scheme's terms — confirm the treatment with your CA or auditor.

Financial vs tax credit notes

Settlement converts the accrued amount into a credit note — and which kind decides the tax outcome. A tax (GST) credit note under Section 34 reduces the supplier's output tax and requires the recipient to reverse proportionate ITC. A financial/commercial credit note changes no tax and requires no reversal. ITC reversal and Section 15(3)(b)

A post-supply discount can be excluded from taxable value — and settled by a tax credit note — only if it meets Section 15(3)(b): established under an agreement entered into before or at the time of supply, linked to specific invoices, with the recipient reversing the attributable ITC. If those conditions are not met, the clean route is a financial credit note with no ITC reversal. Per Circular 251/08/2025-GST, financial credit notes do not require recipient ITC reversal, and the earlier CA-certificate mechanism from Circular 212/6/2024 was withdrawn.

A worked example

A distributor accrues ₹3,00,000 of rebate over a quarter on ₹1.5cr of purchases. Two settlement routes:

The economic benefit is similar; the tax mechanics and the documents each side must retain are not. Deciding the route at scheme design — and recording the basis — is the control that keeps an assessment boring.

Accrual-to-settlement reconciliation

The final discipline is reconciliation: matching the accrued liability over the period against the amount actually settled by credit note. Any shortfall, overpayment, or timing difference surfaces here and is resolved before the books close. Incentives in kind — gold coins, trips, gadgets, channel-meet gifts — can attract TDS on fair market value once the recipient's yearly threshold is crossed, and the accounting must capture it: accrue the cost when earned, record the tax on settlement. Tag each incentive type at design time so the ledger and the withholding return agree.

How is a rebate paid by bank transfer recorded, and does TDS apply?

Debit the rebate liability and credit bank, adjusting any accrual difference through revenue. Genuine trade rebates are neither benefits in kind nor commission, so withholding generally does not arise — but if the payment actually rewards defined promotional services, it may be a service fee attracting both withholding and GST. Bank payouts also need documentation establishing them as price adjustments, which is why credit notes remain the preferred settlement route.

What ledger accounts should a company set up for clean rebate accounting?

At minimum: a contra-revenue account for rebates and discounts, ideally split by primary schemes, secondary schemes and annual discounts; a rebate liability control account with a scheme-wise sub-ledger; a clawback receivable account; and, for buyers, a vendor-rebate receivable and a purchase-rebate contra account feeding inventory and cost of goods sold. Post write-backs under a separate code even where they credit the same revenue line, so movements stay explainable.

What entries are passed when an accrued rebate is settled through a credit note?

Debit the rebate liability and credit trade receivables for the settlement value, extinguishing both the obligation and the dealer's balance. Where the settlement is a tax credit note that validly reduces output tax, split the credit between the receivable at gross value and the GST payable ledger for the tax component — subject to the statutory conditions on such notes. A financial credit note posts at commercial value alone.

Should GST be provided on rebate accruals at year end?

Provide the gross rebate as a revenue reduction; recognise any GST recovery only when reasonably assured. At year end the supplier knows the liability but not always whether settlement will run through a tax credit note, which recovers output tax subject to conditions and deadline, or a commercial credit note, which does not. Treat the tax recovery as contingent, disclose material unsettled schemes in GST reconciliations, and align teams on the plan.
